Job summary

  • An excellent Head of Operations role is now available in an international school based in Ho Chi Minh city.
  • This Head of Operations Will actively endorse the school's strategic direction, ensuring accountability and facilitating efficient operations


Job Responsibilities

Finance & Procurement Management:

  • Collaborate with the Head of School and the Head of Finance to achieve or surpass P&L targets, focusing on enrolment numbers, headcounts, costs, and EBITDA.
  • Manage costs, enhance profitability, and optimize the efficiency, accountability, control, and visibility of finance processes.
  • Take responsibility for all finance and accounting processes, overseeing statutory and reporting requirements, budgeting, forecasting, cash flow management, and taxation for all schools and legal entities.
  • Work with Heads of School and the Director of Finance to develop yearly budgets supported by business plans, including capital expenditure needs.
  • Regularly monitor financial forecasts and implement corrective measures to mitigate and manage risks and financial exposure.

Marketing and Admissions:

  • Collaborate with the Head of School and Admissions and Marketing teams to develop, manage, execute, monitor, and measure the school's growth strategy.
  • Ensure business strategy plans are grounded in sound financial analysis.
  • Stay informed about the market and competitive landscape, identifying trends, risks, and opportunities through market intelligence and analytics.
  • Work with the Head of School to conduct competitive benchmarking for setting tuition fees, improving school positioning, and creating new Unique Selling Points.

Human Resources:

  • Collaborate closely with the School’s HR leads to ensure adherence to Regional HR policies, processes, and guidelines.
  • Establish a robust performance management system for Operations staff.
  • Oversee annual staff recruitment cycles and conduct staff engagement and satisfaction surveys.

Facilities Management:

  • Oversee complete facility and security operations, including transportation.
  • Ensure optimal cleanliness and maintenance of the school premises.
  • Take responsibility for cafeteria management and third-party vendor management.
  • Manage transport operations and collaborate with third-party vendors, ensuring compliance with the school’s safer recruitment policy and providing safeguarding training for all vendors.

Operations:

  • Work with the Head of School and Executive Teams to maintain desired levels of Voice of the Parent and Voice of the Employee scores.
  • Inspire, lead, mentor, and develop functional teams, ensuring regular communication and support for each team member to reach their full potential, with provisions for succession.
  • Collaborate closely with various functions in the School and the regional office.

ICT:

  • Drive the adoption and implementation of enterprise and teaching and learning software and hardware solutions to enhance school efficiency and create a personalized student learning experience.
  • Develop and implement an annual ICT budget aligned with the School’s performance objectives.
  • Track students’ participation and progress across multiple dimensions using leading education technologies.


Experience requirements

  • At least five years of experience in operations management
  • Excellent interpersonal and communication skills, including the ability to establish strong relationships with key stakeholders, effective negotiation skills, and the ability to resolve issues constructively.
  • Experience in managing staff.
  • Familiarity with budgets, forecasting, and metrics.
  • Proficiency in computer skills.
