Job Responsibilities
- Manage and oversee daily operations of the Visa Application Center, including visa application processing, document verification, appointment scheduling, and customer service.
- Develop and implement operational policies, procedures, and standards to ensure compliance with local regulations and global service standards.
- Optimize operational workflows and processes to enhance efficiency, accuracy, and turnaround times.
- Monitor service quality and customer satisfaction metrics, and implement measures to address any issues or concerns.
- Lead and mentor a team of operations staff, providing guidance, training, and support to ensure high performance and productivity.
- Liaise with external stakeholders, including government agencies, diplomatic missions, and visa applicants, to foster positive relationships and address any operational challenges.
- Collaborate with cross-functional teams, including IT, finance, and HR, to support operational initiatives and projects.
- Prepare regular reports and performance analysis to track key operational metrics and identify areas for improvement.
- Ensure compliance with security protocols, data protection regulations, and risk management policies.
- Stay updated on industry trends, regulatory changes, and best practices in visa application services.
Experience requirements
- Minimum of 5 years of experience in operations management, preferably in the travel, tourism, or immigration services industry.
- For Vietnamese candidate, Japanese language is required (N1 or N2 level certified - active or valid certification must be available).
- Open for Japanese expat candidate.
- Strong leadership and team management skills, with a proven track record of leading high-performing teams.
- Excellent communication, interpersonal, and customer service skills.
- Solid understanding of visa application processes, regulations, and requirements.
- Ability to work effectively in a fast-paced and multicultural environment.
- Proficiency in English
- Willing to travel within the region is a plus
Education requirements
- Bachelor's degree in business administration, management, or a related field.
