Job summary
Our client is a dynamic family office investment firm, driven by the mission to become the leading investor in Vietnam. To support our client’s continued growth, we are seeking a highly skilled Personal Assistant to join the Back Office team and provide essential support to the CEO.
Job Responsibilities
I - Administrative
- Support Manage the CEO's calendar, schedule appointments, and coordinate meetings.
- Organize logistics for meetings, events, and conferences attended by the CEO.
- Assist in preparing meeting agendas, reports, presentations, and follow-up action items.
- Handle travel arrangements, including visa applications, flight bookings, accommodation reservations, and itinerary preparation.
- Maintain accurate and secure filing systems for easy document retrieval.
- Assist with personal errands and ad-hoc tasks as assigned by the CEO.
II - Communication & Coordination
- Act as the liaison between the CEO, internal teams, external stakeholders, and portfolio company executives.
- Facilitate effective communication within the company, ensuring timely dissemination of information and follow-up on action items.
- Keep the CEO updated on ongoing projects, upcoming deadlines, and important developments
Experience requirements
The ideal candidate will possess:
- Experience: 3-5 years as a Personal Assistant or Executive Assistant to a senior executive.
- Language Proficiency: Fluency in both English and Vietnamese, with strong oral and written communication skills.
- Multi-tasking Abilities: Proven experience managing multiple tasks and shifting priorities in a fast-paced environment.
- Time Management: Strong organizational skills and the ability to meet deadlines consistently.
- Professional Communication: Ability to communicate clearly and professionally with both internal team members and external stakeholders.
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with Access is a plus.
- Preferred Experience: Background in working at Big 4 firms, investment firms or foreign companies is preferred.
- Personal Traits: High integrity, energy, and a results-driven mindset with excellent judgment, discretion in handling confidential matters, and keen attention to detail.
