Job summary

Job Responsibilities

  • Manage and oversee daily operations of the Visa Application Center, including visa application processing, document verification, appointment scheduling, and customer service.
  • Develop and implement operational policies, procedures, and standards to ensure compliance with local regulations and global service standards.
  • Optimize operational workflows and processes to enhance efficiency, accuracy, and turnaround times.
  • Monitor service quality and customer satisfaction metrics, and implement measures to address any issues or concerns.
  • Lead and mentor a team of operations staff, providing guidance, training, and support to ensure high performance and productivity.
  • Liaise with external stakeholders, including government agencies, diplomatic missions, and visa applicants, to foster positive relationships and address any operational challenges.
  • Collaborate with cross-functional teams, including IT, finance, and HR, to support operational initiatives and projects.
  • Prepare regular reports and performance analysis to track key operational metrics and identify areas for improvement.
  • Ensure compliance with security protocols, data protection regulations, and risk management policies.
  • Stay updated on industry trends, regulatory changes, and best practices in visa application services.

Experience requirements

  • Minimum of 3 years of experience in operations management, preferably in the travel, tourism, or immigration services industry.
  • Strong leadership and team management skills, with a proven track record of leading high-performing teams.
  • Excellent communication, interpersonal, and customer service skills.
  • Solid understanding of visa application processes, regulations, and requirements.
  • Ability to work effectively in a fast-paced and multicultural environment.
  • Proficiency in English and Japanese languages.

Education requirements

  • Bachelor's degree in business administration, management, or a related field.
